1. Define the End Use
Tell us who the patches are for, where they will be attached and how the garment will be used. A cap logo, a uniform badge and a large jacket patch place different demands on size, edge construction and backing. Send the quantity for each design or variation.
2. Agree the Construction
Review the artwork at its intended size. Identify yarn areas, embroidery coverage, base material, outlines and backing. For small text or narrow gaps, discuss a simplified layout before a proof is approved. Define color references and any physical samples used for comparison.
3. Confirm the Approval Reference
A digital proof records artwork and layout; it does not establish hand feel, exact material color or performance on your garment. Discuss whether a physical sample is required and confirm its cost and timing. Keep the approved artwork revision and construction details together.
4. Set the Inspection Requirements
Agree which checks matter to your order: finished dimensions, spelling, color placement, edge finish, loose threads, backing and quantity. Where a wash or attachment requirement applies, agree the test method and acceptance criteria. No certification or performance result should be assumed without the corresponding evidence.
5. Prepare Packing and Delivery
Confirm how each design should be counted, labeled and packed, plus the delivery address and required arrival date. Ask for production and transport timing separately. For repeat orders, refer to the approved specification rather than relying on a product photograph alone.

Do you publish a standard minimum order for every patch?
No. Send the design, dimensions, construction and quantity per version so minimum quantities and pricing can be confirmed for your order.
Does a digital proof replace a physical sample?
No. A proof helps confirm layout and wording. A physical sample can be needed to assess texture, material color, finish and attachment. Agree the approval method before bulk production.
Can I request a specific inspection or test?
Include the requirement with the initial brief. The method, acceptance criteria, feasibility and any additional costs need to be agreed before the order is confirmed.
